The refund window and the transfer rule below still need the Local Organising Committee's sign-off. Everything else describes how the portal already works.

Who these terms are between

Registering creates an agreement between you and the Ekiti State University Medical Students' Association, which hosts The Ekiti Experience '26 on behalf of the NiMSA Southwest Region. VNSIS Technologies operates the registration and payment platform on the association's behalf.

What registration buys

A package covers access to the five-day programme from 7 to 11 October 2026 in Ado-Ekiti, plus whatever that package lists: feeding, accommodation, a clinical skills session and a delegate gift pack. Package contents are shown in full on the registration page and the price you pay is the price shown there.

Travel to and from Ado-Ekiti is yours to arrange. Nothing in any package covers it.

When your place is confirmed

Payment runs through Paystack. Your registration is confirmed and your pass becomes active only once we verify a successful Paystack transaction for the exact package amount. A checkout you started, a debit alert on your phone, or a transfer still pending is not a confirmed place.

If money left your account and your pass is still inactive after an hour, send your Paystack reference to the registration desk and we will trace it.

Accommodation and rooms

Deluxe is one delegate per room, Premium two, Classic three, and Standard is hostel accommodation. Standard / Feeding only carries no accommodation at all. Rooms the committee allocates are allocated by gender. A Premium pair who chose each other by room code is not, since both delegates opted in.

Premium delegates may choose who they share with, using the room code issued once payment clears. Both delegates must hold a paid Premium registration. Choices close on the date published on your account page, after which the committee allocates the remaining rooms and pairs anyone who did not choose with another delegate of the same gender.

Specific rooms, buildings and roommate requests outside the code system cannot be guaranteed.

Refunds, transfers and cancellation

Pending committee approval. The intended rule is a full refund up to 1 October 2026 less the Paystack transaction fee, no refund after that date, and one free transfer of a paid registration to another delegate up to 3 October provided the replacement is the same gender where accommodation is involved. Do not treat this paragraph as final until the committee confirms it and the date on this page updates.

If the convention is cancelled outright by the organisers, every paid delegate is refunded in full.

Check-in and conduct

Bring your ticket ID and a student ID or other photo identification. Your pass admits one person and is not transferable at the gate.

Delegates are expected to behave professionally toward other delegates, staff, venue personnel and the host community. The organisers may withdraw accreditation, without refund, for conduct that endangers or harasses others.

Changes to these terms

If these terms change before the convention, the version on this page is the one that applies, and delegates who have already paid will be emailed about any change that affects refunds, transfers or what a package includes.
